Student Data Policy

This Student Data Policy supplements our Privacy Policy with regard to Student Data that we process under a student data privacy agreement with an Educational Institution. Terms used but not defined in this Student Data Policy have the meaning set out in the Privacy Policy.

When an Educational Institution uses Bookji's services for educational purposes, we may process personal information directly related to an identifiable student that is either:

  1. Provided to Bookji by the Educational Institution, or
  2. Collected or generated by Bookji during the provision of services to the Educational Institution (“Student Data”).

Student Data may include information defined as “educational records” under the Family Educational Rights and Privacy Act (FERPA) or “covered information” under California's Student Online Personal Data Protection Act (SOPIPA), as well as data protected by other student data privacy laws.

Our Commitment to Student Data Privacy

Bookji is dedicated to safeguarding Student Data, ensuring its confidentiality, security, and use solely for educational purposes in partnership with Educational Institutions.

  • Confidentiality: Bookji considers all Student Data to be confidential. We use Student Data solely to provide services on behalf of the Educational Institution in accordance with contractual agreements.
  • Ownership and Control: Student Data is owned and controlled by the Educational Institution. Our collection and use of Student Data are governed by contracts with Educational Institutions and applicable privacy laws. For example, we provide our Services to Educational Institutions as a “School Official” under FERPA and work with Educational Institutions to help protect personal data from the Student's educational record, as required by FERPA.
  • Purpose Limitation: We collect, maintain, use, and share Student Data only for authorized educational purposes and as directed by the Educational Institution or the student's parent or legal guardian (“Parent”).
  • No Targeted Advertising: We do not use or disclose Student Data for targeted advertising or create advertising profiles. Personalized advertising is not used or displayed in Bookji's products.
  • Data Security: We maintain a comprehensive data security program to protect Student Data.
  • Transparency: We clearly disclose our data policies and practices to Educational Institutions, students, and Parents.

Restrictions on the Use and Sale of Student Data

Bookji is committed to ensuring that Student Data is used solely for educational purposes and handled with the utmost care and transparency.

  • We do not build personal profiles of students except in support of educational purposes.
  • Student Data is never sold unless as part of a corporate transaction, such as a merger or acquisition. In such cases, we will ensure the new owner continues to honor this policy or provide Educational Institutions with notice and an option to delete Student Data before the transfer occurs.
  • Material changes to this policy or contractual agreements that relate to Student Data will not be implemented without first notifying Educational Institutions and providing them with a choice.

How We Share and Disclose Student Data

We disclose Student Data solely as needed to provide our Services on behalf of specific Educational Institutions in accordance with our contractual agreements with those Educational Institutions or with the consent of the Educational Institution or Parent.

We disclose Student Data only to:

  • Authorized users such as teachers or administrative professionals within the Educational Institution.
  • Trusted service providers working on our behalf, subject to contractual terms that ensure data protection.
  • Legal entities as necessary to comply with legal obligations or support our legal rights, as outlined in our Privacy Policy.

How We Use De-Identified Data

We may use de-identified information (data stripped of all personally identifiable details) for purposes such as:

  • Adaptive learning or customized educational experiences.
  • Developing and improving our services.
  • Demonstrating service effectiveness to Educational Institutions.
  • Conducting research and innovation in educational technology.

6.

Retention and Deletion of Student Data

We retain Student Data only as long as necessary to support educational purposes, unless otherwise authorized by the Educational Institution. Educational Institutions are responsible for maintaining accurate rosters and can request the deletion of Student Data that is no longer required. Bookji may also delete or de-identify inactive user data in accordance with our retention policies. For access to or deletion of Student Data, Educational Institutions can contact us at support@gobookji.com. Parents or students with such requests should contact their Educational Institution directly.
